Account Coordinator.

 

Account management is responsible for managing and sustaining Baker’s overall relationship with the clients. The emphasis is driving Baker’s success both creatively and economically within the account. 

Responsibilities

  • Coordinate projects and information. Maintains quality, process, timing and budgets.

  • Reports to: EVP

  • Prepare and maintain project information: creative briefs, client requests and feedback, client files, printing specifications, project schedules, phase presentations and content, revision requests, dies, file transmissions, images, etc.

  • Schedule internal project meetings (pre-plan, kickoff, internal creative reviews (ICRs), production hand-offs and feedback). Provide necessary historical reference and next-steps plan.

  • Draft project schedules during pre-plan meetings for each new project including project timelines for key phases/steps/internal strategic checks, photography/illustration, client feedback and final delivery dates.

  • Attend daily status meeting with the team to organize the days goals, schedule meetings and determine solutions to potential problems before they arise. Prepare and distribute to the team (via email) a daily list of deliverables for presentations and shipments.

  • Manage design and production phase routing.

  • Provide proofreading support on all design, content and production routes.

  • Attends and participates in ICRs, etc.

  • Organize and communicate job information/details to key team personnel in a timely manner.

  • Maintain, monitor and manage job timelines, check on job progress, schedule meetings as necessary.

  • Assure projects scheduled for presentation, routing or shipment are prepared and ready prior to deadlines.

  • Monitor and track creative progress and check in with appropriate directors.

  • Assist with execution of client presentations.

  • Assist EVP in developing estimates, change orders and invoices.

  • Assist EVP with sourcing, scheduling and negotiating art and freelance purchasing/hiring.

  • Develop, log and track project financials: Prepare estimates, recommend and generate change orders, and request and monitor invoices. Review job activity, scope, and deliverables against estimates, change orders and invoices to maintain project profitability.

  • Communicate potential budget threats to EVP.

  • Open job numbers in C&P and Basecamp, and create job folders in Account Services and Design file servers.

  • Interact with Creative Teams, Account Management, Marketing, Production and other groups on a project basis to assure optimal results.

  • Generate and track sales projections based on job schedules, activities and milestones.

  • Coordinate Studio Cafe Photo activities, including: scheduling, prop and grocery shopping, food prep, assisting Photographer and account team, etc.

  • Assist Accounting with occasional file organization, data entry, and C&P admin duties, etc.

  • Become an expert on our assigned brands as well as their categories and competition.

  • Stays current on applicable computer technologies including Microsoft Office and iWork apps.

  • Assist in general office management activities.

  • Company event planning.

  • Other duties/responsibilities as needed.


Qualifications

  • Bachelor's degree or at least 2 years of relevant work experience.

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)

  • Highly organized with excellent attention to detail.
